Before automating, find the bottleneck

Start with the process

When a team repeats a task, the instinct is often to automate it immediately. But speeding up the wrong step does not improve the whole process. First map where an enquiry arrives, who responds, what information is needed, and where work stops.

Identify the real constraint

Look for repeated handovers, missing information, waiting times, avoidable re-entry and tasks with unclear ownership. Ask the team which exceptions cause the most trouble. A bottleneck should be supported by what actually happens, not by a fashionable tool recommendation.

Prioritize the outcome

A useful first project has a measurable goal, manageable scope and clear owner. For example, reducing missed follow-ups may matter more than generating reports nobody reads.

Then choose the tools

Only after a workflow is understood should the solution be designed and suitable AI, automation or CRM tools selected. Test failure cases as carefully as the ideal path and keep humans responsible for important decisions.
